This is a permanent full time position working 35 hours per week.

 

 

Purpose:

This position provides administrative support to the Public Health Business Planning & Improvement Team.

 

Preferred Background:
The successful candidate must have post-secondary education in business/office administration with a minimum of five years progressive administrative experience including basic accounting procedures. Advanced level proficiency in applications of Microsoft Office including Word, Excel and PowerPoint, and strong computer skills in data base applications and/or financial management systems preferably SAP, is required. To be successful in this role, the incumbent must be highly organized, consistently demonstrate a high standard of quality in their work, provide excellent customer service, work effectively in a team environment and have a proven ability to effectively manage detail and competing priorities. Experience in a public sector environment is preferred.  An equivalent combination of education and experience will be considered.

 

Duties:

·         Work effectively and cooperatively in sharing and completing administrative work assigned to the Public Health Administrative Coordinators.

·         Ensure the requirements are met for the processing of accounts payables by completing the goods receipting function in SAP.

·         Provide administrative support to the departmental policy and procedure framework and working groups.

·         Create and maintain templates, spreadsheets, user guides/manuals, tracking records, reconciliations.

·         Support the efficient functioning of committees by preparing agendas, recording minutes, maintaining records and scheduling meetings.

·         Coordinate projects, meetings, reporting requirements and special departmental activities/initiatives.

·         Provide excellent customer service to internal and external customers.

·         Work cooperatively with team members providing administrative support with projects, initiatives and coordination of activities such as the departmental student placement program.

·         Provide support for the Physician Engagement program, data entry; workshop organization.

·         Provide administrative support and back-up to the office of the Commissioner and Medical Officer of Health including support for the efficient operation of the Emergency Response Management Services (ERMS) database.

·         Perform other duties, as assigned.
